IVR (Interactive Voice Response), or voice menus, is a crucial tool in Yeastar P-series to manage incoming calls effectively. By creating an IVR menu, you can direct calls to different departments or options based on the user's choice. This guide shows how to configure an IVR menu, upload a greeting message, and set up button options for smooth communication.

What is IVR and How Does It Work in Yeastar

IVR (Interactive Voice Response) allows you to automate the handling of incoming calls by presenting users with a menu where they can choose options by pressing buttons on their phone. In Yeastar P-series, IVR menus are configured under Call Features, where you can create and customize menus for various needs.

Record or Upload Greeting WAV 8kHz

  1. Step 1: Prepare the greeting message

Record a greeting on your computer or mobile phone. Ensure the file is in WAV format with an 8 kHz sampling rate to work correctly in Yeastar.

  2. Step 2: Upload the file

Go to Media Files under System Settings. Click on Add File, select your WAV file, and upload it.

Create IVR Menu in Yeastar PBX Call Features

  1. Step 1: Open the IVR menu

Go to Call Features, select IVR, and click on Add.

  2. Step 2: Configure basic settings

Name your IVR menu. Under Welcome File, select the greeting you uploaded earlier.

Configure Button Options 1 Support 2 Sales

  1. Step 1: Add options

In the IVR menu, click on Add Option. Enter button number (e.g., 1) and select the external number or internal line that will handle support calls.

  2. Step 2: Repeat for other options

Follow the same procedure to add more button options, e.g., number 2 for sales.

Connect IVR to Incoming DID Number

  1. Step 1: Select DID number

Go to DID Numbers, select the number you want to connect to your IVR menu.

  2. Step 2: Configure routing

In the DID number settings, under Incoming Call Routing, select IVR and choose the IVR menu you created earlier.

Specify What Happens on Timeout (No Button Press)

  1. Step 1: Configure timeout settings

In the IVR menu, under Timeout Settings, specify what should happen if the user does not make a choice. You can, for example, direct the call to an internal line or play a message.

Test IVR and Adjust Greeting Volume

  1. Step 1: Test the IVR menu

Call the DID number you connected to your IVR to test the menu. Ensure the greeting plays correctly and that button options work as expected.

  2. Step 2: Adjust volume

In Media Files, select your greeting and click on Edit. Use the volume slider to adjust the audio level to an appropriate setting.

Common Issues

  • Greeting does not play correctly. Ensure the file is in WAV format with 8 kHz sampling rate.
  • Button options do not work as expected. Check that the correct external numbers or internal lines are assigned to each button.
  • Calls are not directed to the IVR menu. Verify that the DID number is correctly configured to direct calls to IVR.
